How do I contact The Beehive NW?

  • Our phone number is (503)746-9038. This is a voicemail line which is checked multiple times a day, and calls are answered in the order they are received.

  • For urgent matters, please text the phone number. Texts will be sent to a larger staff team immediately, and staff will direct your concern to the appropriate parties as soon as possible. 

    • Privacy Policy: By opting into our text messaging service, you agree that Beehive NW   may use your phone number to send you occasional text messages regarding any immediate camp information. We will not share your phone number with any third parties for marketing purposes, except with our secure SMS provider solely to facilitate message delivery. You can opt out of receiving texts at any time by replying 'STOP' to the last message you received. Message and data rates may apply; check with your carrier for details​

  • Our email address is hello@beehivenw.com. Emails will be addressed in the order they are received. 

  • As always, if you are experiencing a medical emergency, please call 911. 

 

What is your EIN?

  • 99-1528087. If you are needing an FSA Receipt, please send an email to hello@beehivenw.com with the form to fill out and we will happily do so. We also have our EIN number on your billing statements, which can be downloaded from your Family Dashboard.

 

Do you offer scholarships?

Yes! Scholarships are currently offered on a case-by-case basis. Please reach out to hello@beehivenw.com for assistance or reduced tuition options. 

 

What is your cancellation policy?

We understand that family schedules change and unexpected events occur. We do our best to accommodate schedule changes and cancellations in our programming while maintaining a sustainable business model. 

 

  • Notice provided 8 days days prior to the start of your camp: 

    • 100% Camp Credit (this would be posted to your account and can be utilized towards any of our camp programming)

  • Notice Provided 0 - 7 days prior to start of camp: 

    • No refund nor credit can be issued

 

I’ve already registered, and something’s come up.  Is it possible to give our spot to someone else and not charge us?

While we can’t issue a refund, we can get you set up with a credit. The credit can be used towards future programs. Please email hello@beehivenw.com to change your enrollment and add credit to your account. 

 

​Environmental Conditions Policy

If smoke, heat, ice, or other weather conditions apply, we will move our programs indoors (oftentimes to Taborspace) or another indoor location onsite. This information will be communicated to you on the day of or day before. 

  • We do everything that we can to avoid it, but at times we must make the hard decision to cancel a program due to safety, such as extreme heat or poor air quality. If we cancel a program due to such conditions, we make every effort to reschedule or move your camper to a future program. 

    • If we cannot reschedule, you may elect to receive a full credit toward future programming. 

 

Low Enrollment Cancellation

If a program’s enrollment drops below the minimum enrollment requirement, we will need to cancel programming until enrollment increases again. 

  • We will do our best to prevent this from happening, and the word of mouth you spread greatly supports us in this endeavor! 

    • If we do need to cancel due to low enrollment, you will receive a full refund and we will provide at least 2 weeks notice. 

 

Missing Programming due to Illness

If you or your child has to miss programming because they are ill  we unfortunately cannot provide a refund or credit. We wish your family a smooth and quick recovery, and appreciate you staying home during that time. Please stay home if you have a positive Covid-19 test and follow the guidelines below for more information.

What if I am late picking up my child?

  • Please call our phone number and give us an ETA. 

  • For Summer Camp, depending on your ETA, we may have to transfer your student to our After Camp location at Taborspace. 

  • We will always be at Taborspace for After Camp and After School programming until 6:00 pm. (outside in the yard or in our classroom)

    • After 6:05 p.m., parents will be charged $1/minute to compensate for staff time. 

 

Where can I find Lost and Found items?

  • Check first with the instructors for your child’s program. If the item is not found by them onsite at the program, the instructors will check our lost and found bin and facilitate its return. 

  • For items not found right away, email hello@beehivenw.com with a detailed description of the lost item and we will keep an eye out. If found, we will respond to your email with instructions on how to pick up the item.

How do you transport campers?

  • Many of our programs are transported so we can spend the day exploring amazing places. We use passenger vans as well as a small school bus to transport. We provide all necessary car seats.

    • Our drivers, along with the rest of our staff have thorough background checks that include driving history. ​​

 

What certifications do your instructors have?

  • All of our instructors are CPR/First Aid certified and have undergone thorough background checks with fingerprinting through the Oregon Registry. 

 

What is your student to instructor ratio?

  • We keep our camp sizes small, at 7:1 (students to instructors.)

 

How many students do your programs serve? 

  • After school enrolls up to 21 children

  • Summer camp enrolls up to 50 children 

  • Our other programs can serve between 7-21 students​

After School Program, Early Release Days, and School Break Questions

​

Why is tuition the same every month, even in August?

We calculate the full cost of our program for the entire school year and divide it into ten equal payments. Tuition payments start August 1st and end May 1st (May tuition covers June as well). Even though August and June are shorter months, tuition will remain the same for all 10 payments. This model allows us to keep our budget and payroll consistent, and it keeps your monthly payments lower throughout the year. 

  • You do not have to enroll in all 10 months of care, but there is a 10% discount if you sign-up for the entire year before August 1st! 

 

Do I need to be enrolled in After School to sign up for Early Release or No School Days?

  • Although Early release days are considered in our After School program tuition, anyone can sign up for Early Release care!

    • We pick-up from Glencoe, Laurelhurst, and Le Monde

  • Early Release days are on Wednesdays, so if your student is not normally signed up for After School on Wednesdays, you can sign-up for Early Release Days a la carte.

  • Anyone regardless of school enrollment can sign up for No School Days! Drop-off and pick-up is at Taborspace. 

 

​Is it possible to attend only a day or two over Fall or Spring Break or would I need to sign up for the whole week? 

  • Yes, for Fall and Spring Break you can sign up for individual days or the full week! 

    • The only difference is that we offer a discount when you sign-up for the whole Spring Break week.

 

Why is there a $150 Non-Refundable Materials Fee?

One-Time material fees are an industry standard that helps us fund gear replacements/repairs, craft supplies, fishing gear, and foam swords (among many other fun materials!). 

  • Before August Tuition starts, this material fee serves as a deposit to reserve your spot for the beginning of the school year!

 

 

Summer Camp, No School Days, and Weekend Adventure Questions

 

Preparation is a key to a successful camp experience!

Baseline Packing List for a Camp Day:

 

  • Backpack that fits your child

  • Water bottle (filled with water)

  • Sack lunch + extra snacks for the morning/afternoon

  • Sun and rain protection 

    • We strongly recommend checking the day’s weather forecast in advance!

  • Comfortable shoes or boots for hiking and getting dirty! Students will be doing a lot of walking and playing in all types of weather. 

  • Change of clothes

  • Any necessary medication or individual needs 

    • Please let your instructor know where these medications are in your camper’s bag if applicable (epipen, allergy medicine etc.)

 

What is a typical Summer or No School Camp day?

(This is an example and your camper's day will vary based on the day's activity choices)

  • 8:o0 AM: Drop off, small group introductions and games.

  • 8:15-9:00 AM: Transportation to site

  • 9:00 AM - 9:40 AM:  Set up our home base, snack, bathrooms

  • 9:40 AM -11:30 AM:  Morning Activity!  Fishing, group game and a craft could all be open options to choose from.  Campers are free to move between these options.

  • 11:30 AM - 12:00 PM:  Lunch!

  • 12:00 PM - 1:00 PM:  Get out some after lunch energy!  Big group game using foam swords or other materials. Go on a stealth mission!

  • 1:00 PM - 2:45 PM: PM activities.  Could include Archery, dramatic play and a craft.

  • 2:45-3:15 transport back to the pick up site.

  • 3:30 PM Pick up.

  • 3:45-6:00 PM: After Camp at Taborspace (optional $100 charge for the whole week)

 

Can I sign-up for After-Camp during the summer even though my chosen Pick-Up location is not Taborspace?

Yes! We transport campers to Taborspace from Wilshire Park and Woodstock Park to participate in After-Camp. We do not offer After Camp for Gabriel Park. We have designated staff that offer care from 3:30-6:00pm to make sure your students get the best care possible and reduce instructor burnout. We do not offer single days of After Camp, but please communicate with us if you plan on skipping certain days of After Camp during the week.
